# Wholesale Distribution Analytics: Margin, Fill Rate, Ageing

> Ask your ERP about margin by customer after schemes, fill rate, stock ageing, debtors by salesperson and price variance, and get the Monday review on its own.

HTML version: https://supaboard.ai/industry/wholesale-distribution

**Margin by customer and SKU, and the stock that isn't moving.** Connect your ERP and ask in plain English: margin after credit notes and schemes, order lines shipped complete, stock by age and warehouse, debtors by salesperson. Then keep the Monday review and the credit-limit watch on a schedule.

For distributors and wholesalers of industrial supplies, FMCG, pharma and electrical goods, and their sales and accounts teams.

## Every question, by who asks it

### Sales and margin

- Gross margin by customer last quarter, after credit notes and schemes
- SKUs whose margin fell more than 3 points against the same month last year
- Scheme payouts this quarter against sales of the scheme SKUs, by scheme

### Stock and fulfilment

- Fill rate by warehouse last week: order lines shipped complete
- Stock by age and warehouse: what's over 180 days?
- Slow-moving SKUs to liquidate: stock on hand with no sale in 180 days, at cost
- Purchase price variance by supplier last month, against the last price paid

### Credit and collections

- Debtors over 60 and 90 days, by salesperson
- Customers over their credit limit with orders still open
- Credit notes and returns this month by reason, against last month

## Keep it running

- **The weekly sales review** (Monday 08:00). Margin by customer, fill rate by warehouse and debtors by salesperson, summarised and emailed to the sales head and each branch manager. Automation: Timed Start → Query Your Data → Summarize Insights → Send Email.
- **Credit-limit watch** (Every 5 minutes). A SQL check finds open orders for customers over their credit limit or with bills past 90 days, and emails accounts before the goods leave. Automation: Alerts → Send Email.
- **Each principal's own datasite** (Month end). A private datasite per brand you distribute, with its sell-through, stock and scheme claims, which the brand's team signs in to with Google or Microsoft.

## The numbers it keeps watch on

| Measure | Definition | Source | In Supaboard |
| --- | --- | --- | --- |
| Gross margin | (Net sales − cost of goods sold) ÷ net sales, after credit notes and scheme payouts | Common practice | Monthly report, by customer and SKU |
| Line fill rate | Order lines shipped complete on the first dispatch ÷ order lines due to ship | Common practice | Weekly report, by warehouse |
| Stock ageing | Stock at cost by days since receipt, by warehouse and batch | Common practice | Monthly report |
| Inventory turns | Cost of goods sold ÷ average stock at cost | Common practice | Dashboard, by category |
| GMROI | Gross margin ÷ average stock at cost | Common practice | Ask it each quarter |
| Days sales outstanding | Receivables ÷ credit sales × days in the period | Common practice | Weekly report, by salesperson |
| Purchase price variance | (Price paid − last or standard price) × quantity, by supplier and SKU | Common practice | Monthly question |
| Scheme payout ratio | Scheme payouts ÷ sales of the scheme SKUs in the period | Your scheme terms | Quarter-end report |

Or attach an export to a conversation, as CSV or Excel: Tally exports.

The tables these questions read: Sales orders, invoices and dispatches, by line; Credit notes and sales returns, with reasons; Purchase orders and purchase invoices, with prices; Stock by warehouse and batch, with receipt dates; Customer ledgers and receivables, with credit limits; Price lists, schemes and rebates; salespeople and routes.

## Teach it your definitions once

Rules are read with every question, so a term means the same thing in Chat, in Slack and in the Monday report.

- Rule: "Fill rate counts order lines, not orders. A line is filled only if it ships complete on its first dispatch."
- Rule: "Gross margin is after credit notes and scheme payouts, at weighted average cost."
- Rule: "Dead stock is any SKU with stock on hand and no sale in 180 days."

## Security

- **Read-only by construction.** Database and warehouse queries are read-only. We give you the SQL for a read-only user too.
- **Credentials stay in the workspace.** Scoped to the one workspace that connected them, never logged and never sent back to a browser.
- **SOC 2 Type II.** An organisation-wide audit of the platform, covering every plan.

## FAQ

### Does it work with our ERP?

If it runs on SQL Server, MySQL, Postgres or Oracle, connect the database and Supaboard queries it in place, read-only. A Tally or hosted-accounting export can be attached to a conversation; to keep Tally data current on a schedule, copy it into a database you connect.

### Can each salesperson get their own debtors list every Monday?

Yes. Set up an automation per salesperson: a Timed Start on Monday at 08:00 in your timezone, then Query Your Data for their customers, Summarize Insights and Send Email.

### Can our principals see their own numbers?

Yes. Publish a private datasite for each brand with its sales, stock and scheme claims. Its team signs in with Google or Microsoft, and viewers don't need a paid seat.

### How does it learn how we count fill rate and margin?

Write each definition once as a rule, such as "a line is filled only if it ships complete on its first dispatch". The agent reads its rules with every question, and you can save reviewed SQL as examples.

### Can it change prices or orders in our ERP?

No. Database and warehouse queries are read-only. We give you the SQL to create a read-only user.
