# Home and Senior Care Analytics: Visits, Overtime, Shifts

> Ask scheduling, EVV and payroll data about authorised against delivered hours, missed visits, caregiver overtime, open shifts and census. HIPAA BAA available.

HTML version: https://supaboard.ai/industry/senior-care

**Every authorised hour delivered, and every shift filled.** Connect your scheduling, visit and payroll data and ask in plain English: authorised against delivered hours, missed and late visits, overtime by caregiver, open shifts, census and payer mix.

For home care and home health agencies, assisted-living and senior-living operators, and healthcare staffing agencies.

## Every question, by who asks it

### Scheduling and visits

- Authorised against delivered hours by client last month: who is under 90%?
- Missed visits and visits started more than 15 minutes late, last week, by office
- Medicaid visits last week with an EVV exception, by reason
- Authorisations ending in the next 30 days with hours still unused

### Caregivers and payroll

- Caregivers who will pass 40 hours this week on what is already scheduled
- Overtime hours and cost by office over the last 4 pay periods
- Caregivers who left in the last 12 months, by months worked before leaving

### Staffing and communities

- Open shifts for the next 7 days, and last month's fill rate by facility client
- Resident census last month across all communities: what moved it?
- Payer mix by delivered hours last quarter: Medicaid, VA, private pay and long-term care insurance

## Keep it running

- **The week's hours and visits** (Monday 06:30). Authorised against delivered hours, missed and late visits and open shifts for each office, in every coordinator's inbox before the week's first calls. Automation: Timed Start → Query Your Data → Summarize Insights → Send Email.
- **Overtime watch** (Every 5 minutes). A SQL check on the scheduling database finds caregivers whose worked and scheduled hours will pass 40 this week, and emails the scheduler while the shifts can still move. Automation: Alerts → Send Email.
- **Each facility client's datasite** (Every morning). A private datasite for each facility client, with its orders, fills and open shifts, and Google or Microsoft sign-in.

## The numbers it keeps watch on

| Measure | Definition | Source | In Supaboard |
| --- | --- | --- | --- |
| Authorised hours used | Delivered hours ÷ authorised hours, per client, payer and authorisation period | Your payer authorisations | Weekly report, by coordinator |
| EVV-verified visits | Visits with all six EVV items (service, client, caregiver, date, location, start and end times) ÷ Medicaid personal care and home health visits | 21st Century Cures Act, s. 12006 | Alert on new exceptions |
| Missed visit rate | Scheduled visits not delivered and not rescheduled ÷ scheduled visits | Common practice | Weekly report, by office |
| Late visits | Visits clocked in after the grace period past the scheduled start | Your service agreements | A rule, then a daily list |
| Overtime hours | Hours worked past the overtime threshold in a workweek, per caregiver | Your payroll rules | Alert before the week closes |
| Fill rate | Shifts filled ÷ shifts ordered, per facility client | Common practice | Each client's datasite |
| Caregiver turnover | Caregivers who left ÷ average caregiver headcount, over 12 months | Common practice | Monthly report |
| Occupancy | Occupied units ÷ available units, per community | Common practice | Month-end owners' pack |

## Where your data lives

- [SQL Server](https://supaboard.ai/integrations/ms-sql-server): connects live
- [Postgres](https://supaboard.ai/integrations/postgresql): connects live
- [MySQL](https://supaboard.ai/integrations/my-sql): connects live

Or attach an export to a conversation, as CSV or Excel: EVV, visit and payroll exports.

The tables these questions read: Scheduled and completed visits by office, with clock-in and clock-out times; EVV visit records and their exceptions; Client authorisations: hours by payer, programme and period; Caregiver timesheets, pay rates, and hire and leaving dates; Shift orders and fills, by facility client; Census for each community: units, residents, move-ins and move-outs.

## Teach it your definitions once

Rules are read with every question, so a term means the same thing in Chat, in Slack and in the Monday report.

- Rule: "A missed visit is a scheduled visit with no clock-in by its end time that wasn't rescheduled."
- Rule: "A visit is late when the clock-in is more than 15 minutes after the scheduled start."
- Rule: "The workweek runs Sunday to Saturday, and overtime is any hour past 40 in it."

## Security

- **HIPAA BAA.** Available on Enterprise. Sign it before patient data goes into Supaboard.
- **Read-only by construction.** Database and warehouse queries are read-only. We give you the SQL for a read-only user too.
- **Your data region.** North America, EU or Asia, chosen when the workspace is created.
- **Credentials stay in the workspace.** Scoped to the one workspace that connected them, never logged and never sent back to a browser.

## FAQ

### Does it work with our scheduling and EVV system?

If its data sits in SQL Server, Postgres or MySQL that you can reach, connect it live and read-only, and the reports and alerts on this page run on it. If it only gives you exports, upload one as CSV or Excel and ask about it. To keep the exports current on a schedule, have them copied into a database you connect.

### Will Supaboard sign a BAA?

Yes. A HIPAA BAA is available on Enterprise. Client records are protected health information, so sign it before they go into Supaboard.

### Does it check our EVV records?

It answers questions about them: which visits carry an exception and why, by office, caregiver and payer. What your state requires, and whether it accepts a visit, is set by your state's EVV system.

### Can each facility client see its own fill rate?

Yes. Publish a private datasite for each client with Google or Microsoft sign-in, or email each one its own report on its own schedule.

### How does it know what counts as a late or missed visit?

Write it once as a rule, such as "a visit is late 15 minutes after the scheduled start". The agent reads its rules with every question, and you can save reviewed SQL as examples.
