# Pharmacy Analytics: Margin by PBM, Rejects, Refills, Stock

> Ask your pharmacy system's data about scripts per pharmacist, margin by PBM, rejected claims, reversals, dead stock and refills due. HIPAA BAA available.

HTML version: https://supaboard.ai/industry/pharmacies

**Know your margin on every script, PBM by PBM.** Connect your pharmacy system's database, or upload its reports, and ask in plain English: scripts per pharmacist, margin by PBM, rejected claims and their codes, reversals, dead stock and refills due.

For independent and specialty pharmacies, and small pharmacy chains.

## Every question, by who asks it

### Dispensing and refills

- Scripts per day and per pharmacist last week, by store
- Filled scripts waiting more than 10 days to be picked up
- Refills more than 7 days past due with no fill since, by drug class
- Patients under 80% PDC this year on statins, diabetes drugs or RAS antagonists

### Claims and margin

- Rejected claims last month, and the NCPDP reject codes behind them
- Gross margin per script by PBM last quarter: which plans pay under cost?
- Reversals last month, and how many scripts went back to stock

### Stock and purchasing

- Inventory days on hand by category, and stock with no dispensing in 180 days
- Drugs whose acquisition cost rose more than 10% on the last invoice
- The 20 NDCs with the highest acquisition cost last quarter, and their margin per script

## Keep it running

- **The morning list** (Daily 07:30). Rejected claims still open, refills past due and scripts waiting more than 10 days, in the pharmacist in charge's inbox before the doors open. Automation: Timed Start → Query Your Data → Summarize Insights → Send Email.
- **Under-cost claim watch** (Every 5 minutes). A SQL check on the pharmacy database finds any claim paid below the drug's acquisition cost and emails the owner the NDC, the PBM and the gap. Automation: Alerts → Send Email.
- **The owners' datasite** (Month end). Margin by PBM, scripts per store and dead stock on a private datasite the owners sign in to with Google or Microsoft.

## The numbers it keeps watch on

| Measure | Definition | Source | In Supaboard |
| --- | --- | --- | --- |
| Scripts per pharmacist | Scripts filled ÷ pharmacist days on shift, per store | Common practice | Weekly report, by store |
| Gross margin per script | (Plan paid + patient copay − acquisition cost) ÷ scripts | Common practice | Monthly report, by PBM |
| Claim reject rate | Claims rejected on first submission ÷ claims submitted, grouped by NCPDP reject code | Common practice | Alert when a PBM jumps |
| Return to stock | Filled scripts not picked up within the contract window, reversed and put back on the shelf | Your PBM contracts | A rule, then a daily list |
| Proportion of days covered (PDC) | Days covered by fills of the drug or its class ÷ days from the first fill to the year's end; 80% or more counts as adherent | Pharmacy Quality Alliance | Monthly outreach list |
| Inventory days on hand | Inventory at cost ÷ average daily cost of drugs dispensed | Common practice | Monthly owners' report |
| Dead stock | Stock at cost with no dispensing in 180 days | Common practice | Ask it each quarter |
| Generic dispensing rate | Generic scripts ÷ all scripts | Common practice | Dashboard, by store |

Or attach an export to a conversation, as CSV or Excel: Pharmacy-system reports; Wholesaler invoice files.

The tables these questions read: Prescriptions and fills, with NDC, quantity, days' supply, pharmacist and pickup date; Claims, with BIN and PCN, amount paid, copay and NCPDP reject codes; Reversals and return-to-stock records; Drugs by NDC, with category, class and acquisition cost; Wholesaler invoices and purchases; Inventory on hand, by NDC and store.

## Teach it your definitions once

Rules are read with every question, so a term means the same thing in Chat, in Slack and in the Monday report.

- Rule: "A filled script goes back to stock after 10 days without pickup."
- Rule: "Margin per script is plan paid plus copay, minus acquisition cost at the last invoice price."
- Rule: "A reject counts once per script, on its first submission, not on every retry."

## Security

- **HIPAA BAA.** Available on Enterprise. Sign it before patient data goes into Supaboard.
- **Read-only by construction.** Database and warehouse queries are read-only. We give you the SQL for a read-only user too.
- **Your data region.** North America, EU or Asia, chosen when the workspace is created.
- **Credentials stay in the workspace.** Scoped to the one workspace that connected them, never logged and never sent back to a browser.

## FAQ

### Does it work with our pharmacy management system?

If your system keeps its data in SQL Server, Postgres or MySQL and you can reach that database, connect it live and read-only. If it only gives you reports, upload one as CSV or Excel and ask about it. To keep the reports current on a schedule, have them copied into a database you connect.

### Will Supaboard sign a BAA?

Yes. A HIPAA BAA is available on Enterprise. Prescriptions and claims are protected health information, so sign it before they go into Supaboard.

### Can it change anything in our pharmacy system?

No. Database and warehouse queries are read-only. We give you the SQL to create a read-only user. Claims are submitted and reversed in your own system, as they are today.

### How does it learn how we count margin?

Write it once as a rule, such as "margin is plan paid plus copay, minus acquisition cost". The agent reads its rules with every question, and you can save reviewed SQL as examples.

### Can each store get its own morning list?

Yes. Schedule one report per store at 07:30 in your timezone. Each runs that store's questions, summarises what changed and emails the pharmacist in charge.
